Overview
This plugin was designed for districts who use MIPSE for their Special Education data, but it is possible to use this plugin if you do not use MIPSE by populating the data either manually or from another source. It allows for tracking Special Ed, 504, and ELL accommodations, both from the Admin side and Teacher side.
Key Details
- The latest version of the plugin is Accommodations - Alerts and Tracking 30A v26.4.1 (download)
- As of version 26.1+, the psquery plugin (from the PowerSource Exchange) must also be installed (download)
- In the past there have been several different versions of the plugin - moving forward we will only support one version. If you have a different plugin than 30A, you will need to move to the 30A version. Instructions for that are listed below.
Upgrading from a previous version
- First, determine if you are currently tracking ELL Accommodations in PowerSchool SIS and decide if you want to transfer those to the new 1-to-1 table format. If you plan to enter the accommodations into MIPSE and have those imported nightly through an AutoComm, then there is no need to do the transfer process and can proceed to step 2. If you have not used the ELL Accommodations in PowerSchool before then you can proceed to step 2. The steps below only apply if you have entered ELL Accommodations in PowerSchool and you would like to continue tracking them in PowerSchool and NOT through MIPSE (or If you are using MIPSE for ELL Accomms but also have some non-standards accommodations that you would like to continue tracking in PowerSchool, please contact us for help setting that up).
- The following steps are to convert your existing ELL Accommodations from a 1-to-many table format to 1-to-1 table format. This will require you to install an sqlReport, export the data, and then import it into the new table.
- Download the "sqlReport - ELL - Pivot Legacy Accommodations.txt" file.
- Import the sqlReport on your system (Data and Reporting > Reports > sqlReports > Import a Report > copy the text from the file into the text box)
- Run the report on your system
- Click the TAB button to export a file
- Go to Data Import Manager (Data and Reporting > Imports > Data Import Manager)
- Select the file that was just downloaded and choose "U_ELL_ACCOMMODATIONS_1TO1" in the "Import Into" drop-down
- All of the fields except for Student Name should map. Click Next, and then Import.
- The next thing you will need to do is submit a MIPSE Heldesk Ticket to request that your MIPSE Accommodations exports be updated to 30A for the latest version of the PowerSchool Accommodations plugin. You will need to let them know which exports need to be updated and also request the names of the files.
- Special Ed Accommodations: Check your current AutoComm setup (System Management > Data > AutoComm Records). Look at the field list, do the number of Accommodations go up to 30? If not, your Special Ed Accommodations export needs to be updated to 30A.
- 504 Accommodations will definitely need to be updated because the latest version of the plugin adds Frequency and Timeline for 504, in addition to the ability for 30 Accommodations.
- ELL Accommodations: if you are tracking ELL accommodations in MISPE and don't already have an export set up for this, request it be added so that they can be imported into PowerSchool.
- Next, delete the old version of the plugin. Go to the Plugin Configuration page (System Management > Server > Plugin Configuration) and click the Delete button next to the plugin.
- Download the latest version of the plugin (see link above under Key Details) and Install it on the Plugin Configuration page. Before continuing, make sure the plugin is enabled.
- If you plan to manually enter accommodations (vs. using MIPSE automated imports), there are importable versions of Custom Student Screens for each of the accommodation types. Those can be downloaded from the Google Drive (look for files starting with CustStudentScr_ and end in .pst) To import those files, go to Data and Reporting > Imports > Import Existing Report Template. After importing, the pages can be accessed by selecting an student, then going to the More menu and then look for the Accommodations sutdent page(s).
- After you receive confirmation from the MIPSE team that they have updated the exports, you will need to update the AutoComms in PowerSchool. In the Google Drive, there are files that contain the fields (text files starting with AutoComm - ). Copy the appropriate missing numbered fields into your AutoComm. Also, make sure the filename in the "Path" field in your AutoComm matches the file name that MIPSE is exporting.
