1. Printer Shows "Offline" Status
An "Offline" status means your computer cannot establish a communication pathway with the printing hardware.
For Network/Office Printers:

Verify Network Connection: Ensure the printer’s physical ethernet cable is securely plugged into the wall jack, or verify that its built-in Wi-Fi display shows an active, strong connection to your organization's network.

Match Networks: Ensure your computer is on the exact same network segment. If your laptop is connected to a "Guest" Wi-Fi network instead of the internal corporate network, it will not be able to locate the printer.
For Home/USB Printers:

Unplug the USB cable from both the printer and your laptop, wait 5 seconds, and plug it back in firmly (try a different USB port if available).

Open Settings > Bluetooth & devices > Printers & scanners.

Click on your printer, open the print queue, click the Printer menu item at the top left, and ensure "Use Printer Offline" is unchecked.
2. Clearing a Stuck Print Queue (Stalled Jobs)
If a document with a corrupted file structure is sent to a printer, it can bottleneck the entire queue, preventing subsequent documents from printing.
Step 1: Cancel the Document

Navigate to Settings > Bluetooth & devices > Printers & scanners and select your active printer.

Click Open print queue.

Right-click the oldest document at the top of the list (usually marked "Error - Printing") and select Cancel.
Step 2: Restart the Windows Print Spooler (If Cancel Fails)
If the document refuses to clear and states "Deleting...", the local Windows print engine is locked up.

Press Windows Key + R to open the Run box.

Type services.msc and press Enter.

Scroll down the list until you find Print Spooler.

Right-click Print Spooler and select Restart. Close the menu and your queue should now be empty.
3. Fixing Physical Paper Jams and Feed Errors
When paper accumulates moisture, is loaded improperly, or the internal rollers wear down, a mechanical jam occurs.

Turn off the printer before reaching inside to prevent static shocks or burns from the hot fuser unit.

Open the main paper tray access panel, as well as the rear clearing door if applicable.

Crucial Step: When pulling jammed paper out, always pull in the direction of the natural paper path using both hands. Pulling backward or yanking unevenly can tear the sheet, leaving microscopic paper scraps stuck inside the sensor gates, or bend delicate internal feed rollers.

Verify the paper guides in the paper tray are snugly adjusted against the edges of the stack so sheets don't pull into the mechanism crookedly.
4. Poor Print Quality (Faded Text, Streaks, or Lines)
If documents are printing with missing text, horizontal bands, or faded patches, it is typically a physical maintenance issue rather than a software bug.

Laser Printers (Toner): If print is uneven or faded, remove the toner cartridge from the belly of the machine. Gently rock the cartridge from side to side horizontally 5–6 times to evenly redistribute the internal plastic powder, then reinsert it. This can stretch out the remaining life of an old cartridge.

Inkjet Printers (Ink): If lines or streaks run across the page, the microscopic nozzles on the printhead are likely clogged with dried ink. Navigate to your printer's on-screen LCD maintenance menu (or its desktop control software) and select Clean Printhead or Align Cartridges.
5. Driver and Configuration Mismatches
If your printer outputs pages covered in random, endless lines of gibberish text, symbols, or smiley faces, your computer is using the wrong "language" (driver) to speak to the hardware.
1. Turn off the printer immediately to stop the paper waste.
2. Delete the printer entirely from your system via Settings > Printers & scanners > Remove.
3. Go directly to the official manufacturer's website (e.g., HP, Canon, Xerox), type in your exact printer model number, and download the recommended Universal Print Driver (UPD) or PCL6 driver.
4. Re-add the printer using the newly installed package.
